Home › Gmail add-on for SAP S/4HANA®
Your people work in Google Workspace, your documents live in SAP S/4HANA®. The Gmail add-on closes exactly that gap: it detects the mail’s SAP reference, validates it against your system and files the mail with all its attachments on the right business object. Mail content never passes through CaRD infrastructure.
The price agreement sits in the buyer’s mailbox. The complaint sits in a clerk’s mailbox. Anyone opening the process in SAP sees none of it — and asks around, searches, waits. Every single time.
Anyone who has to prove an agreement searches mailboxes — often other people’s. Those minutes appear in no calculation and add up across every process regardless.
Holiday, sickness, resignation: whatever only sits in a personal mailbox is gone for everyone else. Filed on the SAP object it stays with the process, not with the person.
When the audit comes, what counts is a complete record on the document — not yesterday’s mailbox export. Filing during the process itself gives you that at no extra effort.
The user stays in Gmail — no switching to SAP, no looking up document numbers, no interim copies.
The add-on appears as a side panel directly inside Gmail — in the browser just as in the Gmail app on your phone. No switching to another window, no interim copy on a drive.
Subject, message body and attachment names are searched for purchase order, sales order and document numbers. Every proposal comes with a confidence rating and states where it came from — the subject or the body.
One click on “Check” asks your SAP system: does the document really exist? The answer appears in plain text on the card — “Purchase order 4500000002 – supplier 10100088”. Without a match, nothing is filed.
The original mail is filed on the business object including all attachments — as a GOS attachment or as a SAP DMS document. The card acknowledges the filing and remembers it on the mail.
With an email solution the first question from every data protection officer is always the same: who sees the content? The answer here is short — nobody but you. The add-on talks exclusively to your own service, operated by you, which goes directly to your SAP system.
A design in which mail content passes through CaRD infrastructure would have been easier to operate. It was rejected, because it would have destroyed the very argument that makes this solution defensible.
Yes. Alongside the Outlook add-in there is a Gmail add-on for Google Workspace. It does the same job: find the object in the mail, validate it against SAP and file the mail with its attachments on the document — as a GOS or DMS attachment, depending on your SAP customizing.
Yes, in full. The original mail is handed over as an .eml file with all its attachments — demonstrably so even for mails of several megabytes. The document is therefore preserved exactly as it arrived.
No — and that is a deliberate design decision, not a footnote. The add-on talks exclusively to your own service, operated by you, which then goes to your SAP system. A design where mail content passes through CaRD infrastructure was explicitly rejected.
Only the narrowly scoped permission for the currently open message, not for the whole mailbox. It is sufficient for the attachments as well. The far-reaching full access to Gmail is deliberately not requested.
SAP S/4HANA public cloud, private cloud, RISE with SAP and on-premise. Filing runs through the released SAP standard attachment service, which exists in every deployment model — whether GOS or DMS is decided by your customizing.
Through Google Workspace, domain-wide for your users or groups — there is nothing that has to be installed on a workstation. Filing profiles are released per role, so purchasing sees different objects than finance.
Yes. There is a matching front end for either mail world, and your users each stay in the program they already work with. Which business objects a department sees is defined through roles in both cases.
We quote per customer — by number of users, the business objects you need and the filing target. Request an individual quote; we are happy to show you a no-obligation live demo first.
Tell us which SAP system you work with and which departments should file - we will sort out the rest in a conversation.
