CaRD Mail Add-In
The CaRD Mail Add-In detects the SAP reference in every email, validates it against your system and files the mail with all attachments on the right business object — as a GOS or DMS attachment via SAP HDM. Runs with Exchange Online and with SAP S/4HANA on-premise and SAP S/4HANA Public Cloud.
The user stays in Outlook — no switching to SAP, no looking up document numbers, no interim copy on a file share.
The add-in reads subject, message body and attachment names and proposes business object and number with a confidence rating — a validated purchase order, for instance, immediately yields the supplier as well.
The proposal is validated against your SAP system. The user sees plain text instead of a number salad: “Purchase order 4500000000 – supplier 10100088”. What does not exist in SAP cannot be filed.
One click on “File in SAP”: the original mail is filed on the business object including all attachments — as a GOS attachment or as a SAP DMS document, depending on customizing.
In SAP the mail hangs right on the document, visible to everyone who opens the object. In the mailbox a filing note marks what has already been filed.
Not “attach a file”, but a validated assignment to the right SAP object — traceable, with no orphans in the archive.
Subject, body and attachment names are searched for purchase order, sales order, document or customer numbers. Every hit comes with a confidence rating — detection is deterministic and therefore traceable at any time.
Before filing, the add-in asks your SAP system: does the object really exist? The user sees the confirmation in plain text — “Purchase order 4500000000 – supplier 10100088”. No match, no filing.
Every department gets its own objects, detection patterns and wording. Objects from maintenance, production, project system or document management are supported as well — through configuration, not programming.
The mail is filed through SAP’s harmonized document management: as a GOS attachment on the object or as a document in SAP DMS. Your customizing decides which — the add-in fits in instead of forcing its own route.
Whatever you already have is supported. If a storage backend is missing, or an expensive legacy archive is to be replaced, we recommend our connector for SharePoint, Azure Blob Storage, Amazon S3 or STACKIT.
Runs in the new Outlook for Windows, Outlook on the web, Outlook for Mac and classic Outlook of current Microsoft 365 installations. No COM, no VSTO, no workstation installation — a central assignment in Microsoft 365 is enough.
A profile bundles a department’s objects together with detection patterns, key fields and wording. Profiles can be assigned per role — purchasing sees purchasing objects, finance sees its documents.

Not supported: on-premise Exchange servers as well as IMAP, POP and Gmail accounts — Microsoft does not offer modern Outlook add-ins there.
For IT: filing uses the released SAP standard service API_CV_ATTACHMENT_SRV, which exists alike in on-premise, private cloud/RISE and public cloud.
The add-in brings no archive of its own and forces none. It uses the filing route your SAP system already knows — GOS attachments, SAP DMS or an archive system connected via ArchiveLink.

Yes. It is a modern add-in built on the current Microsoft standard and runs in the new Outlook for Windows, Outlook on the web, Outlook for Mac and in classic Outlook of current Microsoft 365 installations. No classic COM or VSTO add-in is required — nothing has to be installed on the workstation.
Yes. The add-in runs with SAP S/4HANA on-premise as well as with SAP S/4HANA Public Cloud, and also with private cloud and RISE with SAP. It is based on the same released SAP standard attachment service, which exists in every deployment model.
Exchange Online (Microsoft 365) and Outlook.com. On-premise Exchange servers as well as IMAP, POP and Gmail accounts are not supported by Microsoft for modern Outlook add-ins — that is a platform rule, not a limitation of our solution.
Both are possible. Filing runs through SAP’s harmonized document management (HDM). Whether the mail ends up as a GOS attachment on the object or as a document in SAP DMS is decided by your SAP customizing — the add-in fits into what you already have in place.
Out of the box the common objects from purchasing (purchase order, purchase order item, purchase requisition, supplier invoice, supplier), sales (sales order, quotation, outbound delivery, billing document, customer) and finance (accounting document, fixed asset). Further objects — for example from maintenance, production, project system or document management — are added through configuration, without programming.
No. A released SAP standard service is used — no modification, no custom program in the core system. What is required is activating the service, or setting up a communication arrangement in the public cloud, plus assigning the authorisations.
Centrally via the Microsoft 365 admin center — you assign it to users or groups and it appears in Outlook automatically. On top of that the filing profiles can be released per role: purchasing sees purchasing objects, finance sees its documents.
